We are looking for an organised and detail-oriented SHEQ and Facilities Administrator to provide administrative support within Operations. The successful candidate will ensure that SHEQ, facilities, and sustainability information is accurately captured, maintained, consolidated, and reported in line with company requirements and deadlines.
Maintain SHEQ and Facilities documents and the master document register. Record and track changes made to controlled documents. Capture and consolidate SHEQ and sustainability data against agreed performance measures. Compile SHEQ performance reports, including non-conformances and change-management activities. Maintain and regularly update the SHEQ training matrix. Monitor departmental safety files and guide supervisors in keeping records current. Monitor contractor compliance, documentation and training requirements. Capture information from paper and electronic documents into company systems and shared drives. Verify captured information against source documents and correct any discrepancies. Upload, organise and retrieve SHEQ and facilities documentation. Monitor and report discrepancies between the shared drive and integrated systems. Generate SHEQ reports from the relevant systems and shared drive. Assist with inspections of the facility, premises and equipment. Compile monthly reports on system and shared-drive changes. Assist with scheduling third-party services and processing related charges. Identify opportunities to improve administrative processes, systems and operational efficiency.
Minimum Requirements
Matric or an equivalent NQF Level 4 qualification. Two to three years’ experience in a SHEQ Administrator or similar role. Basic knowledge of facilities management, safety regulations and health and safety principles. Intermediate Microsoft Excel and reporting skills. Good communication and English comprehension skills. Strong attention to detail and information-verification skills. Effective time-management and multitasking abilities. A relevant NQF Level 6 qualification in Facilities Management, SHEQ Management or a related field will be advantageous.
