About the Role Broll Project & Development Services, id.work, Hospitality & Advisory Services, and the broader Africa divisions are supported by the Executive Assistant. This role merges office management, personal executive assistant duties, and business operations. The primary goal is to ensure the smooth functioning of the Managing Director's office and the division as a whole, allowing senior leaders and project teams to concentrate on client delivery.


Key Responsibilities Office Management: - Oversee the day-to-day operations of the Johannesburg office, including managing executive diaries, stationery, onboarding, and general housekeeping. - Establish and maintain relationships with IT support. - Coordinate onboarding and offboarding procedures for staff and consultants, collaborating with HR and IT teams. - Plan and schedule team meetings, training sessions, client functions, and team events. - Handle the office budget by obtaining quotes, issuing purchase orders, and tracking supplier invoices until payment. Executive and Personal Assistant Support: - Manage the Managing Director's schedule, prioritize meetings, safeguard focus time, and proactively resolve scheduling conflicts. - Screen and manage calls, emails, and requests on behalf of the Managing Director, drafting, proofreading, and formatting correspondence, letters, and documents professionally. - Organize local and international travel, focusing on Pan-African travel, including flights, visas, accommodations, transfers, and detailed itineraries. - Develop agendas, briefing packs, minutes, and track actions for internal and client meetings, ensuring all follow-ups are completed. - Coordinate the Managing Director's leadership, executive, and client meeting cycles, including papers, reminders, and follow-ups. - Process expense claims and travel reconciliations accurately and promptly. - Handle confidential and commercially sensitive information with the utmost discretion. Operations and Business Support: - Coordinate the preparation, formatting, and submission of proposals, tenders, and RFP responses, tracking deadlines, inputs, and approvals across teams. - Maintain up-to-date CVs, credentials, project lists, case studies, and templates for use in proposals and client presentations. - Manage document control, filing, and records for the division, including contracts, proposals, and project correspondence on SharePoint and other document platforms. - Assist project managers, cost managers, and directors with meeting logistics, document distribution, stakeholder contact lists, and general project administration. - Support month-end administration by coordinating with finance on timesheets, invoicing schedules, and payments to sub-consultants and suppliers. - Track and schedule professional registrations, memberships, and insurance renewals for the team. - Maintain team leave calendars and resource schedules, preparing simple reports and dashboards for management. - Communicate with other Broll business units, group services, and the interior design and fitout team to ensure alignment of shared processes and requests. - Maintain and enhance internal templates, systems, and standard operating procedures, identifying opportunities to streamline or automate administrative tasks. - Support the implementation and adoption of collaboration and document management tools across the team. - Ensure adherence to company policies, data protection (POPIA), and information security requirements. - Undertake other duties as required by the Managing Director.
