Provide administrative and operational support to the Human Resources Department by coordinating HR processes, maintaining accurate employee records, ensuring compliance with company policies and South African labour legislation, and delivering efficient, professional HR services while promoting One&Only's values and maintaining a positive employee experience.
Key Responsibilities
General Administration
Provide professional customer service to employees, guests, and visitors. Maintain HR office operations, filing systems, stationery, and office equipment. Ensure compliance with company policies, health and safety standards, and South African legislation. Support cost-saving initiatives and report maintenance issues. Maintain a clean, safe, and organized work environment. Handle telephone and email correspondence professionally. Participate in training, meetings, and team events. Promote One&Only's mission, values, and professional image.
Human Resources Administration
Maintain accurate and up-to-date employee records and HR filing systems. Provide administrative support to the HR Manager and HR team. Prepare HR correspondence, reports, letters, memorandums, and forms. Issue employee documents such as employment, bank, and reference letters. Coordinate new employee onboarding and ensure outstanding documentation is completed. Monitor probation reviews and contract renewals with department managers. Screen employee enquiries and direct them to the appropriate HR representative. Record minutes for meetings and manage HR communications, notice boards, and newsletters. Assist with BBBEE reporting and HR compliance activities. Support employee orientation, transport arrangements, and HR-related projects. Maintain purchasing records and requisitions for the department. Assist with Industrial Relations queries and remain updated on labour legislation.
Skills & Requirements (Summarized)
Diploma or Bachelor's Degree in Human Resources or a related field. Minimum of 2 years' HR experience, preferably within hospitality, tourism, or a similar industry. Excellent verbal and written English communication skills. Strong interpersonal, organizational, and administrative abilities. Leadership potential with a positive, customer-focused attitude. Excellent time management and multitasking skills. Ability to work independently and collaboratively. Proficiency in Microsoft Office and HR/Payroll systems. Knowledge of South African labour legislation, including: Basic Conditions of Employment Act (BCEA) Labour Relations Act (LRA) Employment Equity Act (EEA) Understanding of recruitment, training, payroll, and HR information systems.
