The Stock Controller is responsible for managing and maintaining accurate inventory levels across all departments within the property. This includes receiving and issuing stock, conducting stock takes, monitoring stock movements, identifying variances, and ensuring that inventory procedures are followed. The role is critical in minimizing losses, maintaining cost controls, and ensuring the smooth operation of the hotel or lodge. Key ResponsibilitiesReceive, inspect, and verify all incoming deliveries against purchase orders and invoices. Ensure all stock received meets quality and quantity standards. Capture all stock transactions accurately into the inventory management system. Issue stock to departments according to approved requisitions. Maintain accurate stock records and inventory reports. Perform daily, weekly, and monthly stock counts. Investigate and report stock variances, shortages, and discrepancies. Monitor stock levels and notify management when replenishment is required. Ensure proper storage, labeling, and rotation of stock using FIFO principles. Control and safeguard all storerooms and stock areas. Work closely with the purchasing department to ensure efficient stock replenishment. Monitor slow-moving, obsolete, or expired stock. Assist with month-end stock valuations and financial reporting. Ensure compliance with company policies, hygiene standards, and health and safety regulations. Maintain accurate filing of delivery notes, invoices, and stock documentation. Support audits by providing accurate inventory records.
Minimum Qualifications Grade 12 (Matric). Diploma or Certificate in Inventory Management, Supply Chain, Logistics, Hospitality Management, or Finance (advantageous). Experience Minimum 2–3 years' experience as a Stock Controller, Inventory Controller, or Storekeeper within the hospitality industry. Experience in hotels, lodges, restaurants, or hospitality groups preferred. Experience with stock management systems and inventory software. Experience working with food, beverage, housekeeping, and maintenance stock. Knowledge & Skills Strong inventory management and stock control knowledge. Excellent numerical accuracy and attention to detail. Good understanding of cost control principles. Knowledge of FIFO and stock rotation procedures. Proficient in Microsoft Excel, Word, and Outlook. Experience using hospitality stock systems such as PlusPoint, GAAP, Micros Materials Control, Procure Wizard, or similar systems is advantageous. Strong reporting and analytical skills. Good communication and interpersonal skills. Ability to identify stock discrepancies and investigate variances. Strong organizational and time management skills.
